Experienced Executive Assistant - Financial Services Advisory Team (Chicago, Illinois)

What is the Position? Evercore seeks to hire an Executive Assistant to support a Senior Managing Director, Managing Director, and junior bankers within the Financial Services Advisory team in the Chicago office. This high-visibility role requires a seasoned administrative professional who thrives in a fast-paced environment, possesses strong judgment, and excels in managing multiple priorities with minimal oversight.
Primary Responsibilities: The Executive Assistant will ensure smooth and efficient operations for senior bankers by managing scheduling, travel, communications, and other administrative functions. Responsibilities include, but are not limited to the following:
- Manage and prioritize complex and shifting calendars, including scheduling meetings and coordinating across time zones
- Act as a gatekeeper and liaison to maximize senior leadership’s focus on high-priority initiatives
- Proactively manage email requests and incoming communications, ensuring timely action and follow-ups
- Coordinate domestic and international travel, including logistics, itineraries, and adjustments in real-time
- Prepare and submit accurate and timely expense reports
- Organize and facilitate conference calls and meetings, including room bookings, attendee coordination, and agenda management
- Work closely with other EAs to ensure consistent coverage and smooth team operations, offering backup support as needed
- Maintain confidentiality while handling sensitive information with integrity
- Support bankers in both professional and occasional personal matters as required
- Anticipate upcoming needs and responsibilities to ensure executive readiness and team alignment
- Demonstrate a strong team mentality and a proactive, flexible approach to administrative challenges
Specific Qualifications:
- 3–7 years of experience supporting senior-level executives in fast-paced, high-stakes environments
- Exceptional organizational, communication, and interpersonal skills
- Strong ability to make independent decisions, solve problems, and prioritize effectively
- Highly proficient in Microsoft Outlook (email/calendar) and familiar with Zoom, Microsoft Teams, and other conferencing tools
- Demonstrated experience managing international/domestic travel logistics
- Excellent judgment and ability to manage confidential information appropriately
- Comfortable working under tight deadlines and handling last-minute changes with grace
- Bachelor’s degree (BA/BS) or equivalent work experience
- Prior experience supporting executives in investment banking or financial services
- Exposure to group head-level executive support is a plus
- Familiarity with Concur or similar expense management systems
- Standard in-office hours: 8:30am - 5:30pm or 9:00am - 6:00pm; flexibility required to support extended hours as needed
Expected Base Salary Range: $100,000 - $110,000
