Experienced Administrative Assistant - Wealth Management

What is the Position? Evercore Wealth Management seeks to hire an Administrative Assistant for its Wealth & Fiduciary Advisory and Operations & Technology groups in New York, NY. The individual will be responsible for providing comprehensive administrative support to senior team members and ensuring the smooth execution of day-to-day office functions.
Primary Responsibilities: Administrative Assistant Responsibilities include, but are not limited to the following:
- On-site administrative support for the Wealth & Fiduciary Advisory group, Chief of Staff, Partner and Head of Operations
- Answer phones, emails, coordinate and manage calendars both on a primary and back-up basis for senior employees
- Backup support to the Executive Assistant for the Chairman and CEO
- Coordinate internal and external meetings and event logistics, preparing, collating, binding and printing meeting documents
- Take notes and utilize technology to support ongoing project workflows
- Assist with meeting preparation, including materials, technology setup, refreshments and guest reception
- Download, scan, file, and organize documents in appropriate digital or physical formats
- Prepare and edit documents on demand, process expense reports for the NY office; provide backup support for regional offices
- Coordinate travel arrangements for senior executives and client-facing professionals
- Perform other administrative tasks as needed
- Generate office spirit, plan and coordinate office related social events as needed
Specific Qualifications:
- 2+ years of experience providing administrative support to senior management
- Strong initiative, ownership mentality, and ability to anticipate needs
- Excellent time-management and organizational skills with the ability to prioritize effectively
- Professionalism and sound judgment in resolving issues with a sense of urgency
- Exceptional attention to detail
- Strong communication skills and ability to serve as a trusted point of contact for internal teams
- Proficiency in Microsoft Office (including mail merges, data sorting, basic Excel formulas, PowerPoint formatting)
- Familiarity with video conferencing tools such as Zoom
- Experience with CRMs, travel booking tools, and expense reporting systems
- Enthusiastic, team-oriented with a flexible approach and willingness to work overtime as needed
- High level of discretion and confidentiality
Expected Base Salary Range: $65,000 - $75,000
