Job Description
The Team
This position primarily provides overall administrative support for the Global Head of Public Policy, Head of US and Head of EMEA. Based in the Washington DC office. The Executive Assistant will provide onsite operational support to our team and serve as the first point of contact for the office and requires a minimum of 3 days per week in the office and up to 5 days a week depending on office activities.
You Will Be Responsible For:
Manage the planning, budgeting, and execution of high-profile political and client events, meetings, and executive fly-ins
Provide general administrative support to the Global Head of Public Policy, Head of US Public Policy, and Head of EMEA Public Policy including planning, organizing, and booking travel; processing expense reports; and managing their calendars.
Perform gatekeeper and telephone duties for the Global Head of Public Policy and the Office
Manage Global and US Head of Office schedules, meeting notes, and other administrative reporting
Develop/Maintain internal relationships across Invesco to support incorporation of the Government Affairs and Global Public Policy office into the broader company
As needed on-site office management tasks, e.g., manage visitors/consultants at the office, collect mail, monitor inventory levels of office and kitchen supplies, liaise with purchasing to ensure timely replenishment, plan IVZ employee use of office space.
Primary contact for facilities-related issues associated with the Washington office (e.g., IT and equipment issues, building management, access for regular users of the office)
The Experience You Bring:
7+ years of administrative or professional office experience
Familiarity with government affairs is a plus
An ownership attitude is a necessity. The Washington office needs to be ready to host policymakers, clients and executives
Flexibility; the ability to set priorities and work well under pressure to meet deadlines
Excellent verbal and written communication skills
Demonstrated ability to manage and prioritize multiple tasks, including complex assignments, while effectively tracking team members’ responsibilities and ensuring timely completion of actions on behalf of leaders and colleagues
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
Ability to work independently and proactively while maintaining a customer service-oriented attitude in a fast-paced and changing environment
Ability to handle confidential and sensitive material in a highly professional manner
Mature judgment, willingness to take responsibility, and initiative to make decisions within the scope of responsibilities
Strong organization skills and attention to detail
A Bachelor's degree and/or equivalent work experience
The total compensation offered for this position, which includes salary and incentive pay, will vary based on skills, experience and location. The salary range for this position in Washington DC is $100,000 to $110,000 annually.
