Job Description

About the Role:


Provides administrative and secretarial support to management teams or product areas. Uses business software applications to prepare correspondence, reports, minutes, etc. Receives, screens and directs incoming calls, visitors, mail and email. Arranges business travel, coordinates meeting arrangements and tracks expenses.

Responsibilities of the Role:

  • Provide a range of administrative support to the Head of Legal - Americas and other senior Legal Department leaders.

  • Maintain calendars and schedules for meetings, appointments, travel, and conference calls.

  • Coordinate and facilitate meetings including booking conference rooms, scheduling with participants, working with IT on audio/visual needs, catering, preparing for and hosting external visitors.

  • Book domestic and international travel.

  • Create and manage expense reimbursement reports and receipts.

  • Establish, process and manage payment of law firm invoices.

  • Maintain electronic and paper files – onsite and with third party storage vendors; scan documents as needed.

  • Proactively create and edit agendas, presentations, and other materials for meetings.

  • Conduct general, non-legal research, compile information, and prepare presentations for Invesco senior leaders, internal clients, and Boards of Directors.

  • Provide consistent, error-free support for Board meetings including communications with Board members, scheduling meetings, and coordinating executive calendars.

  • Assist with new hire onboarding, as needed.

  • Support process improvement and efficiency initiatives, including the utilization of technology and other tools in accordance with the responsibilities of the role.

  • Assist with the maintenance of and document uploading for the dept-wide SharePoint document repository.

  • Proactively identify and act on additional opportunities to support leaders.

  • Consistently demonstrate attention to detail and produce accurate, high-quality output.

  • Utilize DocuSign to obtain digital signatures and execute documents.

  • Provide backup support for other Legal Dept Administrative Assistants as needed.

  • Maintain positive working relationships and active engagement with senior assistants across the firm.

  • Notarize documents as requested.

  • Special projects as assigned.

Requirements of the Role:

  • Located in Houston, TX.

  • 10 years of administrative or professional office experience.

  • Familiarity with the investment management industry is a plus but is not required.

  • Familiarity with a variety of legal concepts, practices and procedures preferred but is not required.

  • Outstanding organizational skills and attention to detail.

  • Ability to anticipate leaders’ needs; and support leaders with limited direction.

  • Expert level verbal and written communication skills and strong emotional intelligence.

  • An approachable, friendly, professional, and confidence-inspiring disposition and demeanor.

  • A “team first” mentality and a growth mindset.

  • Flexibility and an ability to set priorities to handle, manage, and switch among multiple tasks in a fast-paced environment while meeting deadlines.

  • Expert proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams. Proficiency with SharePoint and PowerBI preferred but not required.

  • Ability to work independently and proactively while maintaining a customer service-oriented attitude in a demanding and changing environment.

  • Highest level of integrity and ability to handle confidential and sensitive material in a highly professional manner.

  • Sound judgment, professional maturity, willingness to take responsibility, and initiative to make decisions within the scope of responsibilities.

  • Ability to work late hours / overtime on short notice.

  • Willingness to report to work in person 4-5 days a week.

  • TX notary license, or willingness to obtain one.

  • A bachelor’s degree and/or equivalent work experience.
