Morgan Stanley's Global Sustainability Office (GSO) aims to drive the growth of sustainable investing through ongoing development of products and solutions, economic analysis, thought leadership, support for early-stage companies and organizations and capacity building initiatives. Within GSO, Inclusive & Sustainable Ventures (MSISV) provides early-stage innovators with access to capital and resources to help them develop and scale. MSISV is seeking an Executive Assistant & Business Administrator who will be responsible for performing an array of administrative functions for the team.

Responsibilities:

  • Handle full and changing calendars while coordinating the flow of internal and external meetings for senior members of the team as well as scheduling related to program participants.
  • Handle telephone coverage, travel arrangements (both domestic and international) and gather all necessary documentation for expense reports submissions.
  • Support members of the team when they are arranging more complex meetings; assist with conference room reservations.
  • Perform administrative responsibilities to support the team: ordering equipment & office supplies; updating seating assignments; maintaining team events calendar for program participants and portfolio companies in addition to other administrative support.
  • Support marketing and event efforts including reserving space and catering as well as onboarding vendors and processing invoices.
  • Address onboarding and technology needs as they arise and oversee technology setups for team members and accelerator participants.
  • Provide overall assistance and support across the team when needed.
  • Excellent written, verbal, and interpersonal communications skills
  • Strong analytical and organizational skills
  • Ability to manage sensitive, complex, and confidential information
  • Attention to detail and accuracy and the ability to follow-up with a sense of urgency is essential
  • Possess a high degree of social and emotional intelligence
  • Have an ability to prioritize and re-prioritize as needed
  • Willingness to learn new processes and firm systems in a complex enterprise environment
  • A team-player capable of cultivating productive working relationships across the firm
  • Ability to work independently with minimal supervision; good problem solving ability
  • Strong knowledge of Microsoft Office (PowerPoint, Excel, Word) and administrative practices and procedures
  • A working familiarity with video meeting software platforms (Zoom, GoToMeeting, Webex, Microsoft Team, etc.) and Concur T&E

Expected base pay rates for the role will be between $60,000 and $105,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
