Your role

We are seeking a proactive, detail-oriented Executive Team Assistant to provide comprehensive administrative and operational support to our financial advisory team. In this vital role, you’ll serve as the first point of contact for internal and client-facing communication while managing meeting logistics, document processing, and recurring reporting duties.


Key Responsibilities:
• Draft internal and external communications, including agendas, talking points, presentations, and meeting notes. Coordinate the delivery of agendas and meeting documents to relevant parties.
• Proactively identify process improvements that enhance the team effectiveness and firm operations.
• Provide phone coverage and direct client communication support
• Process monthly team expenses
• Manage document scanning, mail, and client document requests
• Coordinate and prepare for client meetings (scheduling, booking rooms, catering, prep materials)
• Enter post-meeting notes and send follow-ups
• Track team licensing/education requirements
• Support team projects (Holiday gifts, cards, billing, registrations)
• Assist with LinkedIn content for advisors and basic website updates
