Your role
The Client Service Associate (CSA) delivers day to day service excellence for clients and provides operational and administrative support to Financial Advisors. This entry level role keeps client data accurate, prepares meeting materials, coordinates account opening and service requests, and helps educate clients on firm tools and services. You are a front line problem solver who keeps the team organized and clients informed.

1) Client Service & Administration
• Maintain client information across CRM and firm systems; ensure records, preferences, beneficiaries, and service notes are accurate.
• Educate clients on account services and capabilities (Online Services, paperless delivery, statement navigation, mobile check deposit).
• Prepare and quality check materials for client meetings; capture notes and assign follow up tasks immediately after meetings.
• Coordinate account opening and servicing: collect required documentation, track status, and confirm completion with clients.
• Acknowledge client emails and calls same day with next step timeframes; escalate urgent items appropriately.
2) Meeting & Scheduling Support
• Own scheduling for regular planning and “service” meetings; use approved templates and offer Zoom/Teams/phone options.
• Build agendas, assemble pre meeting packets, and ensure advisors have necessary context before every meeting.
• Send recap emails with clear action items and due dates; update Running Notes and CRM tasks.
3) Money Movement, Tax & RMD Coordination
• Coordinate wires/ACH and cashiering requests within firm controls; verify instructions and retain confirmations.
• Liaise with client CPAs for quarterly estimates and annual filings; arrange secure document exchange and confirm payments when directed.
• Track and coordinate Required Minimum Distributions (RMDs) and charitable QCDs per client instructions.
4) Marketing & Events
• Support event logistics (invitations, RSVPs, run of show, post event follow ups) and maintain attendee lists.
• Keep team marketing materials current (bios, website updates, pitch decks) in partnership with marketing resources.
5) Process & Tools
• Use Teams/SharePoint to manage agendas, PIPs (Processes in Progress), templates, and document updates.
• Follow the Service Matrix and Appointment Lifecycle checklists; help identify and implement process improvements.

Your expertise
• Bachelor’s degree
• Helpful, but not required: series 7 and 66
• Demonstrated proficiency in Microsoft products (360, Copilot, Outlook, Word, PowerPoint, Excel, Teams, & Sharepoint)
• Strong written and verbal communicator
• Independent, motivated, proactive, and focused

• Highly organized and calm under pressure
